Agency Features

Agency plan accounts get a dedicated set of tools for managing multiple client Klaviyo accounts from a single ListGuard workspace. Agency features are accessible from the Agency section in the sidebar.

Agency features are only available on Agency Starter, Agency Growth, and Agency Pro plans.

Client Accounts dashboard

The Agency dashboard (/agency) gives you a high-level health overview of all connected client workspaces.

Aggregate stats

The top row shows totals across all clients:

StatDescription
Total clientsNumber of connected client workspaces
Profiles managedSum of active profiles across all clients
Savings potentialEstimated monthly savings if all dead profiles were suppressed
Clients at riskNumber of workspaces with a health score below 50

Health score

Each client card displays a health score from 0–100. The score is calculated from:

  • Cold profile % — profiles with low engagement relative to total active profiles
  • Dead profile % — fully unengaged profiles (heavier penalty)
  • Sync staleness — no sync in 24+ hours reduces the score
  • Klaviyo connection status — a disconnected account drops the score significantly
Score rangeBadge
70–100Healthy (green)
40–69Monitor (amber)
0–39At risk (red)

Client card

Each card shows:

  • Profile tier breakdown — a stacked bar with Hot (green), Warm (blue), Cold (amber), and Dead (red) segments
  • Savings potential for that client
  • Last sync time with a warning if stale
  • Quick-action links: View workspace, Suppress, Win-Back

Agency Reports

The Reports page (/agency/reports) aggregates data across all clients with a selectable date range (last 30, 60, or 90 days).

Aggregate metrics

MetricDescription
Total profilesActive profiles across all clients
Suppressions runTotal profiles suppressed in the period
Win-backs launchedTotal win-back campaign enrollees
Profiles unlockedProfiles that exited the 90-day suppression window
Avg health scoreMean health score across all clients
Estimated savingsTotal monthly cost reduction from suppressions

Per-client table

The sortable table shows each client’s individual stats. Click any column header to sort. Health badges (Healthy / Monitor / At risk) make it easy to spot accounts that need attention.

CSV export

Click Export CSV to download the full per-client table as a comma-separated file. The filename includes the selected date range (e.g. agency-report-30d.csv).

Bulk Suppression

The Bulk Suppression page (/agency/bulk-suppression) lets you define suppression rule templates and deploy them to multiple client workspaces at once.

Rule templates

A rule template is a suppression rule definition you can reuse across clients. Templates are stored at the agency level and contain the same condition logic as individual workspace rules:

FieldOptions
Engagement fieldsDays since last open, days since last click
Purchase fieldsDays since last purchase, total orders, total revenue
Profile fieldsEmail open rate, is subscribed, is suppressed
Tier fieldProfile tier (Hot / Warm / Cold / Dead)

Conditions use the same operators as workspace rules: equals, greater than, less than, and boolean checks. All conditions in a template are joined with AND logic.

You can optionally enable Exclude cold-but-buying profiles — this prevents the template from suppressing profiles with a recent purchase history regardless of other conditions.

Deploying a template

  1. Click Deploy on any template card
  2. Choose an action — see Suppress profiles vs. Launch win-back below
  3. Select one or more client workspaces (or click Select all connected)
  4. If deploying as a win-back: select a Klaviyo flow for each selected workspace. ListGuard fetches the live flow list from each client’s connected Klaviyo account.
  5. Choose a schedule:
    • Run once — runs immediately and stops
    • Daily / Weekly / Monthly — runs on a repeating schedule
  6. Review the estimated impact (sum of matching profiles across selected workspaces)
  7. Click Deploy (or Launch Win-Back)

In both modes, ListGuard creates a [Agency] <template name> suppression rule in each selected client workspace to define the target audience.

Suppress profiles vs. Launch win-back

ModeWhat happens
Suppress profilesMatching profiles are suppressed in Klaviyo immediately. The suppression rule runs directly and profiles are moved to the suppression jail.
Launch win-backA Win-Back campaign is created in each client workspace. Matching profiles are enrolled into the selected Klaviyo flow. Non-responders are suppressed automatically after the campaign’s wait period (default 14 days).

Win-back mode is the gentler option — profiles get one last chance to re-engage before being removed. Use suppress mode when you want immediate list cleanup without a re-engagement step.

Each workspace can have a different Klaviyo flow. If a workspace has no active flows, you’ll see a warning and need to set one up in Klaviyo first (or use the ListGuard Sunset Flow template).

Run status

Each active run is shown with:

  • A Win-Back badge (violet) if the run was deployed in win-back mode, or no badge for suppress mode
  • Overall status: Running, Completed, or Cancelled
  • Per-workspace breakdown (expandable) with individual workspace status, the selected flow name (win-back mode), and profiles suppressed or enrolled

Managing runs

ActionDescription
PauseCancels the repeating job. The run status changes to Cancelled. Existing suppressions already performed are not reversed.
ResumeRe-creates the repeating job and sets the run back to Running.
DeleteRemoves the run and its repeating job entirely.

Pausing or deleting a bulk run does not unsuppress profiles that have already been removed. To restore profiles, use the Klaviyo dashboard or re-add them to a list manually.

Team member workspace access

Agency accounts can assign team members to manage specific client workspaces. See Team Members & Roles → Agency workspace assignments for setup instructions.
